ONCOLOGY DATA MANAGEMENT

Oncology Data Management uses Electronic Registry Systems software to
Collect and maintain statistical data and lifetime follow-up on patients diagnosed and/or treated at Springhill Medical Center. As Springhill Medical Center moves to paperless records, we also use Sunrise and Papervision to abstract the required data.

DATA: In 2004 we added 586 cases to the database, bringing the total cases to 5,414. FORDS revisions were implemented in accordance with CoC guidelines.
The NCDB called for the 2004 and 1999 data which was submitted error free.
Our data was used by the CoC in a study of Stage 3 colon cases, and we conducted a self-audit of data, looking for CEA values, colonoscopies, and referral patterns. Results were reviewed by the Cancer Committee and the value of CEA as a tumor marker was stressed. The 2004 Annual Cancer Report was placed on the SMC website for the first time and postcard notifications were sent to staff physicians. There were eight requests for registry data.

OUTREACH AND EDUCATION: Springhill Medical Center Staff worked with the American Cancer Society programs such as Relay for Life, Stretch, Us Too and Look Good/Feel Better. The Cancer Registry entered a poster on prostate cancer awareness in the Paint the Town Pink competition. SMC also provides public education through the “Family Matters” magazine, seminars sponsored by the Family Center and continuing education by Staff Development. The coordinator attended the National Cancer Registrars Association annual educational conference in New Orleans, LA.

CANCER CONFERENCE: Eleven multidisciplinary cancer conferences were held during 2004. Fifty cases were presented. Average physician attendance was 5.7; average ancillary attendance was 43. Conferences are held on the fourth Thursday of each month with lunch and one CME hour provided. In hopes of improving physician attendance during 2005, we switched to “physician only” conferences which are held in the boardroom in a roundtable discussion format with Pathology and Radiology studies viewable.
