ONCOLOGY DATA MANAGEMENT

Oncology Data Management uses Electronic Registry Systems software to
collect and maintain statistical data and lifetime follow-up on patients diagnosed and/or treated at Springhill Medical Center. As Springhill Medical Center moves to paperless records, we also use Sunrise and Papervision to abstract the required data.

DATA: We accessioned 545 cases to the database in 2005, bringing the total cases to 5,369. The NCDB called for the 2004 and 1999 data which was submitted error free. Monthly submissions to ASCR continued and we completed participation in the CanCORS project with a letter of commendation from the State, having submitted 49 cases to this project. We participated in the Collaborative Staging Reliability Study sponsored by SEER. The 2005 Annual Cancer Report was placed on the SMC website and postcard notifications were sent to staff physicians. There were eight requests for registry data in 2005. Policy & Procedure manual was updated to reflect changes in technology and current practices.

OUTREACH AND EDUCATION: Springhill Medical Center staff worked with the American Cancer Society programs such as Stretch, Us Too, and Look Good/Feel Better. SMC provides public education through the “Family Matters” magazine, seminars sponsored by the Family Center and continuing education by Staff Development. We also held an ERS workshop on campus for local ERS users.

CANCER CONFERENCE: Eleven multidisciplinary cancer conferences were held during 2005. Fifty-one cases were presented. Average physician attendance was 6, in a physician-only roundtable discussion format. Conferences are held on the fourth Thursday of each month with lunch and one CME hour provided.
